Synergy End of Year Checklist:

Synergy New Year Rollover

  • Every year several processes must be run to close out the previous school year and prepare for the new year. The rollover to close out 2021/2022 will be slightly different this year due to the recent school boundary and policy changes, as well as Synergy running a summer environment.
  • The final rollover processes will begin on Thursday, July 7th starting at 3:00 pm, and will continue until Sunday, July 10th. During this time, users will not be able to log into Synergy. Starting on Monday, July 11th, Synergy will be set to have 22/23 as the current school year.
  • Staff should ensure that all next year grade and building assignments are updated by 3:00 pm on Thursday, July 7th. Students who have not passed should be retained in the grade and building they are enrolled in, regardless if they are enrolled in summer school.

Graduate Tracking and Data Elements

  • The 2021/2022 school year will be the first time that a strategic, streamlined, and consistent approach is used to track graduates. A knowledge base article has been published under the Synergy tile, > Enrollment. This document outlines any and all data elements needed for every 21/22 graduate (including early graduates), as well as a way to track students participating in the ceremony. Please refer to that document if you have any involvement with graduates.

End of Year Grading

  • Grade files will open on May 19, 2022, and close on June 3, 2022. During this time, teachers should verify, adjust and post both the marking period 4 and the final grade for students.
  • Synergy uses a customization to calculate final grades. The calculation will not work if a student has received a non-standard marking period grade at any point. Examples of non-standard grades are: M – Medical, IP – In Progress, P – Progress, etc. A final grade will need to be determined by teacher and entered during the grading window for MP4.

Synergy Summer Environment

  • In an effort to move towards a consistent, secure, and streamlined approach, as well as meeting federal reporting requirements, Synergy will be used to track any and all summer programs and instruction. This includes enrollment in buildings, scheduling, attendance, and grading.
  • Training materials will be created and shared with the site coordinators, teachers, and other staff on how to maintain data in the summer environment.

Scheduling Preparation for 2022/2023 School year

  • The Student Information Systems team will continue the practice of assigning a representative to assist each building/district program with the scheduling process. To do this, a form must be completed that will trigger a kick-off call to be scheduled and the setup for your building to begin for the 2022/2023 school year.   • Schools will not be able to start the scheduling process until the form is completed.
