Google and Google Shared Drives

There has been an increase in the use of employee Google and Google shared drives over the past year or so. We understand that using Google Docs is a great collaboration tool for building staff and administrators; however, it should not be used as the primary drive to store district related documents. The Office of Technology continues to recommend that all documents be saved on a network drive or your “home” directory as these locations are here within SDoL and backed up nightly.

Google and Google shared drives that have been created are saved in the cloud and are NOT on the premises of our data center here within the district. When individuals share Google Docs, or any files within Google, and then that person leaves the district, their account is disabled on the Google side after a period of time. Once this Google account is disabled, all documents associated with that account are removed and we are unable to recover them.

We strongly urge everybody to please save your work to one of the SDoL shared network drives and/or your personal network drive (home directory). All documents stored on our SDoL network drives are backed up nightly to servers located within the District and can be restored within a period of time. Shared drives are as follows:

  • Central Offices – T: drive
  • Elementary Schools – U: drive
  • Middle Schools – V: drive
  • High Schools – W: drive
