P: Drive Cleanup

As I look around my garage, I am baffled by the amount of junk I see. We’ve only lived in this house for a year. Where did I get all of this stuff? More importantly, why am I keeping it?

It’s simple…I can fix this thing. This other thing is big, but there’s plenty of room for it. I’m planning on selling that thing but just haven’t gotten around to it.

Then there’s this random thing that’s been sitting on that shelf since the day we moved in. It annoys me that it’s still sitting in the same precarious spot and that I have to move around it twice a week. Why do I still have it?

Say it with me…I might need it someday.

Things are difficult to throw away. Things are sentimental and provide comfort. We love our things, especially old spreadsheets and documents.

But are old documents efficient? Are they accurate? Do they contain anything that could be considered questionable by today’s standards? Should we keep using them and what is the best way to keep them organized?

Glad you asked. The best way to manage control of a large collection of files is a document repository. SDoL has partnered with Harvest Technology to bring you the latest version of Content360. Now utilizing the OnBase platform, Content360 will give us centralized management over the documents we use.

What does Content360 offer? Content360 allows us to set life cycles on documents, set owner/user permissions, and manage how the documents are changed. Never again will you search for a file only to find it contains old information. The versioning of files means you always get the most up-to-date copy.

We will be configuring Content360 and getting it ready for launch over the next few months. We are currently working on the school board documents and will be migrating finalized documents of the administrative offices into the repository a department at a time.

In the meantime, it’s time to clean the garage. Please take a look through the files you are keeping on the P drive and remove any old and outdated files. Please also look through any documents from your area on the intranet. Those files will also be migrating to the document repository.
