Field Trip Process Updates

To reduce the number of steps for field trip coordinators while ensuring that all information is electronic and centralized, we have made modifications to our field trip administrative regulation and process.

We intended to provide live training and orientation but were unable to identify a date early enough to provide the information needed promptly.

As a result, we are providing this online training and orientation video, which is also available on the new Field Trip Process Hub.

Summary of the major changes in the new guidelines:

  1. Both walking and overnight trips will now be entered into FMX – For overnight trips, requesters will complete the Transportation Request form in FMX and will upload a fillable PDF form entitled Overnight Field Trip Additional Questions, which is available on the Field Trip Process Hub.
  2. Permission slips must be received ten (10) school days before the trip – The current district permission slips will still be in place, including a blanket one that can be completed at the start of the school year
  3. Trips can be canceled if we “run out” of busing and nursing support

Benefits to schools:

  1. A streamlined process in FMX that automatically:
  2. Notifies the Coordinator of Health Services regarding trips
  3. Notifies Office of Food Services when bagged lunches are required
  4. Continues to notify the Office of Transportation to generate a quote
  5. An electronic method for overnight trip approval, which will shorten the amount of time required for approval
